My journey from paper to electronic documentation-

The Year of Implementation.

We were told from the very beginning that for the transition to be a success, we would need to have individuals dedicated to learning the new system and teaching it to others. Our agency had over 300 clients and over 400 employees. That was a lot of information to transfer and a lot of people to train. Additionally, many of our clients and employees were in rural areas without much internet access. Quantum Solutions helped us make a plan to stay on track.

We uploaded spreadsheets and scanned documentation. We entered demographics and service plans, client pictures, and other critical data. All along the way, the Quantum Solutions team guided and aided us. It was a lot of work but very rewarding in the end. The Quantum Solutions team came on-site, spending a week with us to make sure we were setting things up correctly, following guidelines, ensuring security, and building our confidence with the software.

We spent months setting up the software, entering data, and training our staff. Within 7 months of beginning this transition, we were going live with the software and a handful of staff and clients. At first, we had a few kinks to work out, but soon after we were training the rest of our 400 employees. The transition was difficult for many, many people; families, administrators, and direct support providers. There was frustration, confusion, and lots of re-training.

But, by the end of the first year, we had all employees trained to use the new software, we were billing thru the software (and getting paid!), and we were gaining confidence leaving the paper behind and going electronic.

We even had an accreditation review at the end of the first year and it went swimmingly with the Quantum Solutions software.

Overall, it was a stressful transition from paper to electronic documentation but so very worth it in the end. The Quantum team was instrumental in helping us implement the change and have continued to be supportive, attentive, and encouraging. I have since left that Iowa agency and now I work for Quantum Solutions.
